From coordinating workspaces and equipment to maintaining productivity and engagement, making flexible working work for everyone is key to maintaining business performance.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here\u2019s some advice on what to consider and how to manage <\/span><a href=\"https:\/\/www.easyoffices.com\/blog\/flexible-working\/working-remotely-can-have-many-benefits-but\"><span style=\"font-weight: 400;\">flexible working<\/span><\/a><span style=\"font-weight: 400;\"> effectively in your business.&nbsp;<\/span><\/p>\n<h2><b>What are the UK\u2019s <\/b><b>flexible working regulations<\/b><b>?&nbsp;<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Defined as any type of working pattern that is different to your current agreement, <\/span><a href=\"https:\/\/www.citizensadvice.org.uk\/work\/rights-at-work\/flexible-working\/flexible-working-what-is-it\/\"><span style=\"font-weight: 400;\">flexible working<\/span><\/a><span style=\"font-weight: 400;\"> can involve reducing the number of hours you work per week, changing the hours you work, job sharing, flexitime or changing where you work for all or part of your working hours.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Under the <\/span><a href=\"https:\/\/www.legislation.gov.uk\/uksi\/2014\/1398\/made\"><span style=\"font-weight: 400;\">Flexible Working Regulations 2014<\/span><\/a><span style=\"font-weight: 400;\">, anyone who\u2019s been continuously employed for at least 26 weeks has the right to make a flexible working request to their line manager or HR department. A standard <\/span><span style=\"font-weight: 400;\">flexible working request template<\/span><span style=\"font-weight: 400;\"> says that this must:&nbsp;<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Be given in writing.&nbsp;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Be dated.&nbsp;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Give any details of previous applications for flexible work.&nbsp;<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Any employer must then reply to requests within <\/span><a href=\"https:\/\/www.gov.uk\/flexible-working\/after-the-application\"><span style=\"font-weight: 400;\">three months of the application<\/span><\/a><span style=\"font-weight: 400;\"> in a \u2018reasonable manner\u2019. If the employer agrees, they <a href=\"https:\/\/www.easyoffices.com\/blog\/work-environment\/avoid-checking-work-emails-on-holiday\">must reply to the employee with a statement of the agreed changes and a start date for the flexible working<\/a> agreement. Any relevant changes to an employees contract should also be made within 28 days of this agreement.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Alternatively, an employer can reject an employee\u2019s application for flexible working for a range of reasons, including extra costs that will damage the business, an inability to reorganise the work amongst other staff and the impact that <\/span><a href=\"https:\/\/www.easyoffices.com\/blog\/flexible-working\/flexible-working-isnt-just-for-home-workers\"><span style=\"font-weight: 400;\">flexible working<\/span><\/a><span style=\"font-weight: 400;\"> will have on quality or performance.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Employees also have the right to appeal any request rejection that they feel is unfair through a company\u2019s established procedures or tribunals.&nbsp;&nbsp;<\/span><\/p>\n<h2><b>How to manage flexible working<\/b><b> effectively<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">To manage flexible working effectively, your business first needs to be clear about what its policy is to your managers and employees. From here, you can start to establish clear guidelines and provide effective support for your teams.&nbsp;<\/span><\/p>\n<h3><b>Review your <\/b><b>flexible working policy<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Whether you already have a flexible working policy in place or not, it\u2019s key that you review and write it to ensure it best suits the needs of your business. Depending on your industry and your employees\u2019 expectations, this <\/span><a href=\"https:\/\/www.easyoffices.com\/blog\/flexible-working\/yahoo-chief-bans-home-working-does-she-have-a-point\"><span style=\"font-weight: 400;\">policy can be as strict<\/span><\/a><span style=\"font-weight: 400;\"> or otherwise as your team feels is appropriate. However, it should set out:&nbsp;<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What your employee\u2019s rights are with regards to flexible working.&nbsp;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What the company offers with regards to flexible working.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Who is responsible for dealing with flexible working requests.&nbsp;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What the flexible working request process is.&nbsp;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What employees should do if they want to dispute a flexible working request.&nbsp;<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Once you have this policy in place, you can start to communicate the key parts of this to your team.&nbsp;<\/span><\/p>\n<h3><b>Create a <\/b><b>flexible working manager\u2019s guide<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">If your managers are responsible for dealing with flexible working requests, then it\u2019s key that they understand how to deal with these requests and their impacts effectively. Creating a <\/span><a href=\"https:\/\/www.managers.org.uk\/wp-content\/uploads\/2020\/04\/Flexible-Working-Guidance.pdf\"><span style=\"font-weight: 400;\">manager\u2019s guide to flexible working<\/span><\/a><span style=\"font-weight: 400;\"> will help them to understand the steps for dealing with any requests, how to agree or reject them and advice on any arrangements that need to be put in place to make flexible working effective.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This will minimise any confusion in the process, ensure that any requests are dealt with effectively and make sure that managers feel confident in helping their team to work flexibly wherever possible.&nbsp;<\/span><\/p>\n<h3><b>Make the flexible working process clear<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">To ensure that employees are aware of their rights and the company\u2019s position on flexible working, then any policy or processes need to be clearly communicated to them. This can be done through <\/span><a href=\"https:\/\/www.cipd.co.uk\/Images\/getting-buy-in-for-flexible-working_tcm18-72164.pdf\"><span style=\"font-weight: 400;\">internal communications initiatives<\/span><\/a><span style=\"font-weight: 400;\">, shared documents on the intranet or through one-to-one HR advice, but it is key to making sure there are no misunderstandings between managers or employees.&nbsp;<\/span><\/p>\n<h3><b>Move from management to support<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">As well as putting thorough policies and processes in place and communicating them clearly to your teams, offering additional support will ensure that employees can work effectively while working flexibly.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This can include helping employees set up equipment, putting regular welfare catch-ups in place or running performance and wellbeing reviews for colleagues.
